Trust

Security and access, by design.

Yacht and ship agency work involves sensitive itineraries, documents, and disbursements. HYANS keeps client information inside an access-controlled workspace — and shares it only with authorized people, on a need-to-know basis.

Our approach

This public site holds very little; the workspace holds the rest.

This marketing website is intentionally light on data. It presents general information about HYANS and how we work. It does not host client itineraries, vessel documents, or disbursement accounts — those live in a separate, access-controlled client workspace. The one exception is a request you send us: we keep a minimal contact record of it (your name, email and phone, never the vessel or voyage detail you typed) for up to 30 days so an enquiry is never lost to a mail failure, then delete it — see Privacy.

That workspace is the client portal: our access-controlled environment for handling the documents, messages, and disbursement tracking behind a port call. Access is limited to authorized clients and the HYANS team members supporting their call. If you are a client, you reach it through the client portal.

  • The public site carries minimal information and no client records — apart from a 30-day contact record of any request you send
  • Client work is handled inside the access-controlled client workspace
  • Access is limited to authorized clients and the team supporting each call
  • Itineraries, guests, and sensitive details are handled on a need-to-know basis
Confidentiality

How we handle sensitive information.

What we protect

  • Itineraries, arrival and departure plans, and guest or owner details
  • Vessel documentation and certificates provided for a call
  • Disbursement accounts, invoices, and billing information
  • Mission and operational details for government and conservation vessels

How we handle it

  • Information is used for the purpose it was provided and shared on a need-to-know basis
  • Access is limited to authorized clients and the team supporting the call
  • Sensitive documents are kept in the access-controlled workspace, not in ad-hoc channels
  • Confidentiality expectations are set with each engagement and honored throughout
Being careful with claims

What we do not claim on a public page.

We are deliberately careful about security wording. On this public page we describe how access and confidentiality are structured — not specific technical measures. We do not make unverified claims about encryption standards, formal audits, or third-party certifications, and we would rather under-state than over-state.

If you have specific security, data-handling, or compliance requirements for an engagement, raise them with us directly. We will discuss what we can support for your call, in writing, as part of the agency agreement. For how information submitted through this site is handled, see our privacy notice; for reporting standards, see standards & compliance.

Questions

Frequently asked

Is client information stored on this public website?
Almost none. Client documents, messages, and disbursements are handled in the separate, access-controlled client workspace. The one thing the public site keeps is a minimal contact record of a request you send us — name, email and phone, never the vessel or voyage detail — held for up to 30 days so an enquiry is never lost to a mail failure, then deleted.
Who can access the client workspace?
Only authorized clients and the HYANS team members supporting their call, with role-based access so people see what their role requires and no more.
Do you have a formal security certification?
We describe our access and confidentiality approach here rather than claim specific certifications on a public page. If you have formal security or compliance requirements, raise them with us and we will confirm what we can support in writing.
How is confidential itinerary or mission detail handled?
On a need-to-know basis. Sensitive details are shared only with the people a call requires and are kept within the access-controlled workspace, not broadcast across an account or ad-hoc channels.

Have specific security requirements?

If your vessel, owner, or program has particular confidentiality or data-handling requirements, tell us. We will discuss what we can support and confirm it in writing.
