The commitments below describe how HYANS conducts its work. They are operating standards, not regulatory guarantees. Clearance, inspection, access, and approvals are decided by the responsible authorities — CBP, USDA/APHIS, the Coast Guard, Port State Control, and harbor masters. Our job is to coordinate accurately, document thoroughly, and keep you informed so the process runs in order.

Authority coordination
- Coordinate clearance and documentation with the relevant authorities
- Support Port State Control activity; outcomes rest with the authorities
- Never claim to influence or expedite regulatory decisions
- Confirm current requirements with the authorities before arrival
Documentation discipline
- Gather and verify the documents a call requires, in advance
- Keep an organized, complete record of each engagement
- Provide a reconcilable disbursement account
- Retain records per applicable requirements, where applicable
Confidentiality
- Handle itinerary, owner, and guest details on a need-to-know basis
- Hold sensitive information in the access-controlled client workspace
- Share information only with authorized parties
- Apply confidentiality as standard, not on request
Vendor verification
- Coordinate vendors we can reasonably vet for the work
- Confirm scope and availability before committing on your behalf
- Track work orders and invoices through the call
- Be clear that availability and pricing are not guaranteed
Safety & port rules
- Coordinate within harbor, pilotage, and port operating rules
- Support compliance with applicable safety requirements
- Defer to harbor masters and authorities on operating decisions
- Flag constraints early rather than promise around them
Security-conscious operations
- Limit distribution of sensitive vessel and movement information
- Use access-controlled systems for documents and messaging
- Apply discretion appropriate to the vessel and the mission
- Coordinate security-related requirements with the operator's designated parties
client-workspace access control
- Restrict the client workspace to authorized clients only
- Control who can view documents, messaging, and the disbursement account
- Keep the record of a call in one access-controlled place
- Provide access on a need-to-know basis

Any certification, membership, or formal-compliance claim is stated only where it has been confirmed with the owner, and worded as target or scope rather than a credential we have not verified. Where applicable, and as confirmed with the owner, relevant standards and affiliations will be listed here explicitly. Until then, we describe how we operate rather than assert credentials we cannot substantiate.
